Flanders Investment & Trade (FIT) values your privacy and respects your rights when processing personal data. In this statement, you can find how your personal data is collected, processed and used. This privacy notice reflects the specific privacy policy regarding the Foreign Investment Trophy 2019 of:

Under this privacy policy, your consent is asked for:

  • managing your participation to the event;
  • making, using and distributing sound and image recordings;
  • forwarding your personal data to our sponsors.

Who processes your personal data?

FIT processes your personal data for the activities described within this policy document, wherein “we” refers to Flanders Investment & Trade. We thereby only process personal data and allow personal data to be processed when necessary for the tasks assigned to us. This is done in compliance with the General Data Protection Regulation (GDPR) and provisions of the federal and Flemish regulations about the protection of natural persons in the processing of personal data.

Besides its own processing activities, FIT would like to stress that your personal data is shared with the partners of this event. These are:

  • Deloitte;
  • ING.

Should you have any questions, complaints, suggestions, or enquiries regarding your personal rights, or the processing of your personal data, you can contact our Data Protection Officer (DPO) at all times by sending an e-mail to privacy@fitagency.be.

When is personal data being processed?

We process your personal data once you have registered for the event.

You may have received an invitation for this event based upon identification and contact details we previously collected and currently hold.

Which personal data does FIT process?

Is considered as personal data any data that identifies or relates to you as a natural person. FIT, in the context of this event, processes:

  • identification and contact details;
  • data related to your profession and/or function.
  • sound and image recordings;
  • digital cookies.

How do we collect and process your personal data?

We process your personal data collected through the registration form on our website.

FIT would like to stress that during the event, photos and videos will be made and sound could be recorded.

Why do we process personal data?

We process your personal data in order to manage your attendance at this event.

Furthermore, FIT processes specific personal data to:

  • communicate about the event (sound and image recordings);
  • communicate about FIT’s activities in general (sound and image recordings);
  • forward your personal data to our partners (limited to your name, company and your profession / function).

By attending the event, you consent to sound and image recordings of the event being made. We kindly ask you to inform our photographer(s) should you object to having any picture of you taken or distributed.

How long do we retain your personal data?

FIT undertakes to retain your personal data no longer than what it deems necessary. Data related to your participation to the event will be deleted or anonymized, at the latest, 2 years after the event has taken place. Sound and image recordings will be held or can be used for a period of 10 years.

Do we share your personal data with others?

Firstly, your personal data will be processed by FIT and its employees only.

Secondly, FIT shares a list of organizations and attendees with event partners. As described in our privacy disclaimer, FIT shall not be held liable for the way further processing activities are conducted by these partners. However, FIT does stress the applicable laws and consent given in a mutual agreement. The partners of this event are: Deloitte and ING.

Thirdly, FIT may rely on third parties for specific services. These third parties are held to strict conditions whilst processing any of your data, and only process data strictly necessary to perform their task.

Last but not least, FIT may be legally required to forward personal data to other government agencies, or to those public entities requesting access to personal data being held by FIT. This is only possible when such an entity is legally authorized to do so.

Is your personal data being transferred outside the EU?

FIT does not have the intention to transfer your personal data to third parties outside the European Union.

What are your rights?

FIT provides full transparency on the processing of your personal data and takes all reasonable steps to assure the quality of your personal data. As an individual, you have the right to:

  • access your personal data;
  • transfer your personal data;
  • rectify or complete your personal data when incorrect or incomplete;
  • temporarily or permanently restrict the processing of your personal data (including the withdrawal of your consent);
  • request the deletion of your personal data.

If your personal data is processed in the public interest, you can at any moment oppose its processing. We then consider whether your individual interest outweighs the general interest targeted through the processing activity. If we cannot, or may not, process your data any further, we cannot manage your attendance to the event and participation becomes impossible.

You can contact our DPO via privacy@fitagency.be. In order to respect your confidentiality and that of others, we kindly ask you to provide evidence of your identity.

You can also contact this department should you consider your personal data as no longer being relevant and that it should therefore be deleted. FIT retains the right to determine whether your request is legitimate. Above all, FIT may in some cases have to comply with retention periods required by law, which would prohibit us to grant your request to delete personal data. FIT will however, in such an event, evaluate which personal data can be deleted anyhow, and inform you about its decision.

If you do not agree with our way of processing your personal data, you can contact our Data Protection Officer (DPO) at privacy@fitagency.be or you can file a complaint with the competent supervisory authority (see contact details below).

How is your personal data protected?

FIT makes every effort to continuously guarantee the availability, confidentiality and integrity of your personal data. FIT therefore takes the appropriate measures to protect such data. This includes the careful selection and strict limitation of the number of employees having access to your data. Moreover, the impact on privacy is analyzed extensively to guarantee your rights, as well as the security and protection of your personal data. If an unexpected incident occurs causing your personal data to be breached, FIT will notify you while taking into accout the period required by law.

We reserve the right to amend and adapt this privacy policy. Changes and adaptations will be published on our website.
